For self-managed boards

Stop chasing the same three owners every single quarter.

DuesChaser runs your association's late-dues sequence on its own — friendly reminder, second notice, formal notice, final demand — each letter on the right day, every step logged.

The daily grind

Collections is the job nobody volunteered for.

Every quarter the same handful of owners forget, and somebody on the board has to write the awkward email. Again.

01

The awkward first email

Nobody wants to be the neighbor who sends it, so it goes out late — or not at all.

02

Nothing is written down

When an account finally escalates, there's no record of what was sent or when.

03

Escalation is guesswork

How firm is too firm at 60 days? Most boards improvise it every time.

04

It never actually ends

Clear one quarter, and the same names come back the next.

What it does

The whole sequence, handled.

Import your ledger once. DuesChaser decides who gets which letter, when — and stops the moment someone pays.

4 stages

Friendly nudge → final demand

Each letter escalates only after the previous deadline actually passes. No blind timers, no sending a formal notice to someone who paid yesterday.

Payment resets instantly

Record a payment and the sequence stops that second.

Hardship pause

One click pauses any owner — disputes and payment plans included.

Full paper trail

Every notice archived with date, amount, and stage.

§

Your governing documents, cited

Formal notices reference your own CC&R sections and late-fee terms — not generic legal filler.

Import from any spreadsheet

Unit, owner, email, balance, due-since. That's the whole setup.

How it works

Set it up in an afternoon. Then forget it.

STEP 01

Import the ledger

A CSV from whatever you already use — QuickBooks, a spreadsheet, your bank export.

STEP 02

Set your terms

Grace period, late fee, and the CC&R section to cite. Editable per community.

STEP 03

Preview every letter

See exactly who gets what today before a single one goes out.

STEP 04

Run it

Letters generate on schedule. You review the aging report when you feel like it.

Pricing

Flat pricing. No per-door math.

The platforms charge per unit and expect you to migrate everything. DuesChaser does one job and stays out of the way.

Questions

Before you ask.

Is this a debt collector?

No. DuesChaser prepares correspondence for the association — it does not collect on anyone's behalf. Management companies collecting for associations should review FDCPA applicability with their own counsel.

Does it file liens or send legal threats?

Deliberately not. When an account finishes the four-stage sequence, DuesChaser tells the board to consult the association's attorney. Escalation has legal prerequisites that vary by state, and software shouldn't pretend otherwise.

Do we have to migrate off our current system?

No. DuesChaser reads a CSV of your ledger and produces letters. It sits alongside whatever you already use.

What if someone pays mid-sequence?

Record the payment and the sequence stops immediately — no embarrassing formal notice to an owner who's current.

Is our owner data sent anywhere?

No. Each community's data lives in its own local file. Nothing about your owners leaves your machine.
